DEVB TC(W) No. 8/2025, Annex A 7.5.1(ii)

DWSS Site Diary module: G.F. 536 and Site Record Book

The Site Diary module is the second mandatory DWSS module in DEVB TC(W) No. 8/2025 (Annex A 7.5.1(ii)). It digitises G.F. 536, or the ArchSD Site Record Book, with a record, review and endorse workflow, site photos, and statistics on labour, plant and weather. Kodifly delivers it in SpatialSense.

What the Site Diary module is

Annex A 7.5.1(ii) says the Site Diary refers to G.F. 536 and the Site Record Book refers to the ArchSD Site Record Book. In the DWSS filing format they carry the type codes SD and SRB (7.3.4).

The module is the daily record of the site. Its labour and plant figures also feed the Labour Return module, which must retrieve labour information from the Site Diary automatically (7.5.1(v)(d)). Photo records must be part of the form.

What each diary records

Annex A 7.5.1(ii)(c) lists five items the form must be set up to record.

Record itemWhat the form holdsWhere it goes next
Progress of workWork done on the daySite Diary statistics
Plant and labour employedLabour and plant on siteLabour Return, and iCWP staff, labour and plant numbers
Weather and site conditionsConditions that affect the worksWeather statistics
Site photosPhoto records with date, time and GPS (7.4.9)The same form
Occurrences affecting progress or qualityWhat happened and the extent of the effectRaw Site Diary data

Workflow and who signs

Annex A 7.5.1(ii)(b) sets three stages. The workflow agreed with the employer's representative, within six weeks of commencement, names the people (7.4.4).

  1. Record

The site team creates the diary on the app or browser. A draft can be saved and edited before submission (7.3.6).

  2. Review

The assigned reviewer receives the diary through the workflow and gets a notification (7.1.3).

  3. Endorse

The endorsing party signs off. The record is then locked, and each action carries its approver and time (7.3.7, 7.3.8).

Statistics the module must show

Annex A 7.5.1(ii)(e) sets the Site Diary statistics. The DSR (section 4.4) sets what goes to iCWP.

Annex A statisticWhat iCWP receives (DSR 4.4)
Overdue actionsNumber of overdue Site Diary in a period
Completed, incomplete and outstanding diariesNumber completed and incomplete in a period
Labour and plant deploymentNumber of contractor's staff, labour and plant

The DSR notes that its sample Site Diary template does not apply to ArchSD contracts.

Site Diary module, answered

Which form does the Site Diary module digitise?

G.F. 536 for the Site Diary, and the ArchSD Site Record Book for ArchSD contracts (Annex A 7.5.1(ii)(a)).

What must a diary record?

Progress of work, plant and labour employed, weather and site conditions, site photos, and any occurrence that affects progress or quality and the extent of the effect (7.5.1(ii)(c)).

What is the workflow?

Recording, review and endorsement (7.5.1(ii)(b)). Forms can be created, submitted, received, approved, rejected and answered on the mobile app and in a browser (7.4.5).

Does the Site Diary feed the Labour Return?

Yes. The Labour Return forms must allow automatic retrieval of labour resource information from the Site Diary or Site Record Book (7.5.1(v)(d)).

What does the Site Diary send to iCWP?

DSR section 4.4 lists overdue diaries, completed and incomplete diaries, numbers of contractor's staff, labour and plant, and the raw Site Diary data.

Can a diary be changed after endorsement?

Not directly. Submitted, reviewed or approved records are locked, and changes are made through rejection and resubmission that supersedes the earlier record (7.3.7).
